The Context

This food processing and retail client had hosted its Annual General Meeting at the same venue for more than a decade. In 2025, the long-standing venue was sold and became unavailable, requiring the identification and delivery of a new AGM venue within a fixed governance and delivery framework.

In addition, the AGM was scheduled alongside an employee engagement event on the same day. Designing an experience that worked seamlessly for both audiences, while maintaining familiarity and confidence for the Board, was critical to success at an entirely new venue.

Our Work

Aspect led the end-to-end planning and delivery of the AGM ensuring continuity, confidence, and control for all stakeholders.

Key elements included:

  • Comprehensive venue assessments, resulting in the selection of QEII
  • Multiple site visits with all stakeholders to build familiarity and confidence
  • Detailed planning documentation and technical blueprints
  • Walk-through documents mapping the narrative and flow of the AGM experience
  • Event design that mirrored the Board’s previous AGM experience, despite the change in venue, allowing Directors to focus on governance rather than logistics
  • Flawless delivery of complex production and logistical requirements within a new environment
